Vestara came together after a shared observation among its founders: the administrative side of estate management in Malaysia — gathering the right documents from the right offices, tracking responses, handling correspondence — was consistently more disorganised than it needed to be. Not because families were unprepared, but because no one had set out the full scope clearly at the start.
The open ledger model was the answer. Rather than presenting services in broad terms, we map every document, every office and every likely charge as a row in a written ledger before any work begins. Families see exactly what is involved, what each step costs, and what the realistic timing windows are. Then they decide.
We operate from Cyberjaya, Selangor, and work with families across Selangor and Kuala Lumpur. Our team has accumulated extensive working knowledge of the administrative bodies involved in estate matters in Malaysia — including land offices, the National Registration Department, Amanah Raya Berhad, the High Court registry, and various financial institutions.
Our work is strictly administrative and informational. We are not a law firm. Where a matter requires a qualified practitioner — and we encounter those rows regularly — we mark them clearly in the ledger and note the type of professional firm that should handle them.

Nadia oversees client ledger design and consults directly with families at the scoping stage. She has spent over a decade working in administrative roles connected to estate and property documentation in Selangor.
Farouk Kamaruddin
Farouk manages the retrieval workflow, tracking all outgoing requests and incoming responses across land offices, financial institutions and registration bodies. He maintains the fortnightly ledger updates for active cases.
Lim Shu Ting
Shu Ting maintains the indexed document archives for all active cases and coordinates translation and attestation where required. She ensures every row in the master ledger is backed by the corresponding physical or digital record.

Written Scope Before Work Begins
No work proceeds without a written ledger in the family's hands. Scope, fees and timing windows are documented before any request is made or any correspondence drafted.
Secure Document Handling
Physical documents are stored in access-controlled facilities. Digital copies are held in encrypted storage. Access is restricted to the assigned team members for each case.
Separated Fee Accounting
Office charges levied by government bodies are listed separately from Vestara's service fees in every ledger. Families see both figures clearly and are not presented with a combined total that obscures either component.
Clear Referral Practice
When a matter requires a qualified legal or financial practitioner, we mark that row in the ledger with a clear notation and indicate which category of professional firm to approach. We do not attempt to handle those items ourselves.
Fortnightly Progress Updates
On retrieval and full programme cases, an updated ledger copy is issued to the family every two weeks. Every row reflects its current status, so the family always has an accurate and dated record without having to enquire.
Personal Data Protection
Family and estate information is handled in accordance with Malaysia's Personal Data Protection Act 2010. Data is used only for the stated administrative purpose and is not shared with third parties beyond what a specific request requires.
Administrative Expertise in Estate Documentation
Estate administration in Malaysia involves a range of administrative bodies: land offices under state authority, the National Registration Department, Amanah Raya Berhad for smaller estates handled under the Small Estates (Distribution) Act, the High Court registry for larger estates requiring a grant of probate or letters of administration, and various banks and financial institutions holding accounts, fixed deposits or securities in the deceased's name.
Each body has its own request procedures, processing windows and documentary requirements. A death certificate certified by the National Registration Department is typically needed first. Certified copies of identity documents, original wills where they exist, and various statutory declarations may be required before certain offices will process a request at all. Where properties are involved, dealings with the relevant state land registry add another layer of administrative steps with their own timelines.

Our team tracks typical response windows as part of the ledger preparation process, drawing on direct experience with the correspondence and documentation involved in Malaysian estate administration. We know, for instance, how long bank notification procedures commonly take, what supporting documents are ordinarily needed for land title transfers during estate distribution, and which steps tend to cause delays if documentation is incomplete at the point of submission.
